Job Description:
Position Function:
The Audio-Visual Coordinator assists in the management, operation, and support of the university’s audio-visual systems and event production services. This position works under the direction of the Audio-Visual Engineer and plays a key role in supervising Sound Technicians while ensuring the successful execution of in-house productions, campus events, and special events requiring professional sound, video, and lighting support.
The Audio-Visual Coordinator is responsible for maintaining operational readiness of audio-visual systems, coordinating equipment resources, supporting staff training and development, and contributing to long-term planning for technology upgrades and future resource needs. This role requires strong technical knowledge, leadership ability, and exceptional customer service skills in a fast-paced university environment.

Essential Duties and Responsibilities:
Event Production & Technical Operations:
• Coordinate and assist with the setup, operation, and breakdown of professional audio, video, and lighting systems for university events, athletics, ceremonies, conferences, performances, and special events.
• Provide technical support for live productions and in-house events to ensure high-quality event execution.
• Troubleshoot and resolve technical issues involving sound reinforcement, video distribution, streaming systems, and lighting equipment.
• Support the operation of digital audio consoles, wireless microphone systems, projection systems, LED displays, video switching systems, and theatrical/event lighting systems.
• Ensure all events meet established technical, operational, and safety standards.
Staff Leadership & Training:
• Assist the Audio-Visual Engineer in supervising and coordinating daily activities of Sound Technicians and event support personnel.
• Provide hands-on training and mentoring for technical staff in audio-visual operations, equipment handling, troubleshooting, and event support procedures.
• Assist with scheduling staff coverage for events and operational support needs.
• Promote a professional, customer-service-oriented work environment focused on teamwork and accountability.
Equipment & Inventory Management:
• Maintain accurate inventory records for audio visual equipment, tools, and related assets.
• Coordinate equipment replacement and repair (R&R) processes, including identifying damaged or outdated equipment and recommending solutions.
• Monitor equipment condition and ensure preventative maintenance practices are followed.
• Assist in evaluating and recommending new technologies, equipment upgrades, and resource improvements.
• Ensure proper storage, transportation, and security of university-owned audio-visual equipment.
Strategic Planning & Resource Development:
• Participate in long-range planning and vision development for campus audio-visual systems and event production capabilities.
• Assist in identifying future equipment, staffing, and infrastructure needs to support evolving university demands.
• Collaborate with university departments, vendors, and stakeholders to improve event production services and technical capabilities.
• Stay current with emerging audio-visual technologies, production trends, and industry best practices.
Customer Service & Collaboration:
• Provide exceptional customer service while supporting university departments, faculty, staff, students, and external clients.
• Maintain professional working relationships and communication with campus stakeholders and event partners during the planning and reservation process.
• Model and promote exceptional customer service when assisting in the field and collaborating with event partners/clients, students, University staff etc.
• Assist the Audio-Visual Engineer in collecting and evaluating event feedback from Sound Technicians and Event Partners and recommending technical and training solutions.
• Support continuous improvement efforts within the Audio-Visual Services operation.
Minimum Qualifications:
• Bachelor’s degree in Audio Engineering, Broadcast Production, Media Production, Information Technology, or related field; or equivalent combination of education and professional experience.
• Experience supporting professional audio-visual systems in live events, higher education, broadcast, or production environments.
• Working knowledge of professional sound, video, and lighting systems.
• Experience supervising, training, or coordinating technical staff or student workers preferred.
• Strong troubleshooting and organizational skills with the ability to manage multiple projects simultaneously.
• Ability to work evenings, weekends, and flexible hours as required for university events and productions.
Preferred Qualifications:
• Experience in collegiate athletics or large-scale event production environments.
• Knowledge of digital audio networking, streaming platforms, video production workflows, and lighting control systems.
• Familiarity with inventory management systems and preventative maintenance programs.
• Industry certifications related to audio visual technology or production systems preferred

• Strong understanding of professional audio-visual equipment and live event production workflows.
• Effective leadership and communication skills.
• Ability to train and develop technical staff.
• Strong problem-solving and decision-making abilities under pressure.
• Ability to establish and maintain effective working relationships with faculty, staff, students, vendors, and event stakeholders.
• Commitment to professionalism, customer service, and continuous improvement.
Working Conditions and Physical Effort
• Ability to lift and transport equipment weighing up to 50 pounds.
• Ability to stand, walk, climb ladders, and work in event venues for extended periods of time.
• Ability to work in indoor and outdoor event environments under varying conditions.
