HR Transactions, Hiring, and Personnel Processing Responsible for assisting with and processing routine HR transactions for TEAMS, OPS, GRA, and volunteer populations in coordination with the department HR team. Supports recruitment and hiring activities, including preparing and routing hiring requests, assisting with job postings, coordinating background checks and verification requests, preparing draft offer letters, and helping process new hires, terminations, appointment changes, and renewals. Assists with processing FTE changes, salary changes, and other personnel-related actions in myUFL and related systems. Maintains awareness of department, college, and university policies and procedures to help ensure HR actions are completed accurately and on time.
Onboarding, Offboarding, and HR Records Support Coordinates onboarding and offboarding support for employees in partnership with the department's HR team. Assists with onboarding logistics, communication, and preparation of new employee materials. Supports offboarding processes by coordinating checklist items, asset return follow-up, and separation-related documentation. Assists with payroll-related support and routine pay-impacting actions, including tracking and processing items such as appointment updates, salary changes, FTE changes, and leave-related actions as assigned. Coordinates I-9 verification and related onboarding compliance steps in accordance with university requirements.
HR Compliance, Tracking, and Employee Support Establishes and maintains confidential personnel files and electronic HR records. Maintains HR tracking tools, Smartsheet records, document logs, and filing systems to support continuity, accuracy, and timely follow-up. Supports HR compliance-related processes through routine tracking and follow-up. Assists with tracking probationary periods, evaluations, training compliance, leave cash-outs, and other recurring personnel actions. Provides routine guidance to employees and supervisors regarding standard HR procedures, forms, and next steps, while referring more complex, sensitive, or higher-level matters to the HR Generalist II as appropriate.
Foreign National and Departmental HR Support Assists the department HR team with limited administrative support related to foreign national hires and renewals, including gathering documents, maintaining tracking logs, and supporting communication follow-up. Processes and tracks volunteer appointments and assists with related departmental HR documentation as assigned. Provides general departmental HR support for recurring projects, workflow updates, and process documentation. |
