    Job Description:

    As a Fiscal Assistant I, you will primarily provide support to the Fiscal Assistant II team, assisting with daily financial operations related to travel, purchasing, and PCard transactions.

    You will work closely with faculty, staff, and students to ensure fiscal processes are completed accurately, efficiently, and in compliance with University policies.

    Key Responsibilities (this is not all inclusive and may change based on the needs of the College/Unit assigned).

    Travel Support & Coordination
    • Assist faculty, staff, and students with booking travel accommodations and preparing travel documentation in UF systems.
    • Support travel requests, reimbursements, and expense report processing while maintaining audit-ready records.
    • Prepare required cost comparisons when travel exceptions are needed or when personal travel is involved.

    Purchasing & PCard Transaction Support
    • Obtain and utilize a University of Florida Purchasing Card (PCard) to make approved departmental purchases.
    • Reconcile PCard transactions monthly, ensuring appropriate documentation, receipts, and approvals are collected.
    • Assist the Fiscal Assistant II team with routine purchasing needs and transaction troubleshooting.

    Communication & Follow-Up
    • Provide professional follow-up with faculty and staff who are unresponsive to documentation or approval requests.
    • Serve as a helpful point of contact for basic travel and purchasing questions, escalating complex issues as needed.

    General Fiscal & Department Support
    • Assist with invoice processing, procurement documentation, and maintaining organized fiscal records.
    • Support the department’s overall financial operations in partnership with the Fiscal Assistant II team.

    Expected Salary:

    Starting at $18.00 per hour; Commensurate with experience and qualifications

    Required Qualifications:

    High school diploma or equivalent and one year of general accounts transaction experience. Appropriate college course work or vocational/technical training may substitute at an equivalent rate for the required experience.

    Preferred:

    • Strong organizational skills and attention to detail
    • Proficiency with Microsoft Office (Excel, Outlook, Word)
    • Ability to manage multiple priorities and meet deadlines
    • Strong communication and customer service skills
    • Familiarity with UF systems such as myUFL, PeopleSoft, UFGO, and Marketplace (preferred)
    • Experience with travel, purchasing, or PCard reconciliation is a plus
