    Job Description:

    The Academic Assistant II supports the Department of Astronomy’s academic programs by coordinating courses, maintaining records, and assisting students and faculty. Responsibilities include:

    Course & Enrollment Coordination

    • Manage course logistics, scheduling, and facilitating classroom/exam requests for the department.
    • Oversee registration, waitlists, and enrollment monitoring for courses.
    • Facilitate on-time grade collection and submission.

    Student Records & Admissions

    • Maintain student and course records in UF systems (e.g., PeopleSoft, GIMS).
    • Track undergraduate and graduate student progress, milestones, and forms.
    • Support graduate admissions by tracking materials and communicating with applicants.

    Department & Administrative Support

    • Provide front-line customer service and route department inquiries.
    • Assist with calendar management, meetings, and academic events.
    • Provide backup coverage for other administrative functions as needed.
    Expected Salary:

    The salary is $20-$22/hourly, commensurate with qualifications and experience.

    Required Qualifications:

    High school diploma or equivalent and three years of relevant experience.

    Preferred
    • Knowledge of UF systems (PeopleSoft/Student Admin, GIMS) and CLAS academic procedures.
    • Strong communication and customer service skills.
    • Ability to interpret and apply Registrar, Graduate School, and International Center requirements.
    • Demonstrated proficiency with office productivity software (e.g., word processing, spreadsheets, email/calendar tools) and the ability to learn new systems.
