Job Description:

The Development Coordinator will be responsible for prospect research and support of solicitation and stewardship cycles, as well as some administrative operations for the Corporate & Foundation Relations (CFR) team. Reporting to the Senior Director of Advancement, this position will represent the CFR office to a diverse constituency, both internally and externally, and must have the ability to coordinate multiple projects at a high level of performance, accuracy and speed. This position requires attention to detail, effective oral and written communication skills and high level of professionalism and confidentiality.

UF Advancement is beginning to plan for a new campaign to seek significant support from corporations and foundations. The Development Coordinator is a key position to ensuring future support.

Corporate & Foundation Relations – Development Research Functions

  • Work with the CFR Advancement team to identify UF faculty, projects, or programs that might appeal to corporate and foundation prospects
    • Monitor newsletters from various UF units and provide updates to the CFR Advancement team on those that look most promising for CFR funding.
    • Participate in meetings with college/unit staff to gather information about relevant college/unit priorities.
    • Develop other practices to identify promising faculty.
  • Work closely with Prospect Strategy & Research to identify prospective CFR donors.
  • Identify and compile key requests for proposals (RFPs) from foundations, match RFPs with relevant faculty, and disseminate
  • Manage, organize and continuously update information on key corporate and foundation prospects (including giving interests, proposal deadline, names of contacts, etc.), as well as for individual prospects as directed by management staff.
  • Assist with researching/compiling background information related to online grant proposals, as well as writing/editing summaries related to potential funders for key projects.
  • Regularly compile and evaluate lists of newly established foundations to identify those that may be good prospects.

Corporate & Foundation Relations – Development Reporting & Stewardship Functions

  • Assist with gathering and tracking countable gifts, serving as a liaison between multiple parties and the development team.
    • Work with CFR Advancement team to review and categorize potential gifts as recorded by the Division of Sponsored Programs (DSP).
    • Provide estimate to Advancement leadership.
    • Spot check to make sure entries were recorded correctly.
  • Provide support for stewardship of CFR donors in conjunction with Donor Relations, tracking reporting requirements and motivating internal and external contributors to provide information needed on a timely basis.
  • Assist with end-of-grant reporting on individual gifts, especially the Davis United World College annual report.

Corporate & Foundation Relations – Development Cultivation

  • Assist Senior Director, Director, and Assistant Director in proposal preparation and submissions process.
  • Help plan and schedule campus visit for corporate and foundation prospects, as well as play a supporting role in networking with partners and prospects.
  • On occasion, assist with donor visits and other development-related events that occur outside of usual business hours.
  • With support from the Senior Director, assist faculty in applying for grant opportunities ranging from $10,000 to $100,000.

Fiscal Management

  • Manage the development of the annual operating budget for CFR including, but not limited to evaluation of spending trends, approval of purchases and regular reports to development fund administrators regarding year-to-date spending; monitor budget regularly.
  • Monitor department’s expenses.
  • Monitor and track grants deposited to and transferred from Sponsored Research gift funds.

Office Support

  • Occasionally support in the preparation of documents and meeting materials for the following:
    • Principal Gifts & Strategic Initiatives
    • Corporate & Foundation Relations
    • Volunteer Board
  • Assist with organizing and prioritizing daily workflow to student assistant(s).
  • Maintain records and instructions of CFR research and reporting processes.
  • Manage the process of imaging submitted proposals to prospect records in the prospect database.
  • Coordinate meetings as needed with Sponsored Research staff, unit-based CFR staff, and other interested parties to discuss and develop strategies for major foundation-issued RFP’s (Request for Proposals).
Expected Salary:

$48,000-$58,000; commensurate with education and experience.

Minimum Requirements:

Bachelor's degree or an equivalent combination of education and experience.

Preferred Qualifications:

The ideal candidate will possess:

  • Prior experience in development, fundraising, non-profits or higher education.
  • Ability to type 35 cwpm; 45 cwpm preferred.
  • Flexibility and the ability to work well with all levels of staff, as well as outside donors and volunteers.
  • The incumbent must exhibit excellent interpersonal communication skills and be able to work independently and accurately.
  • Accuracy, attention to detail and a customer service-oriented attitude.
  • Ability to work collaboratively and a team player.
  • Competency in problem solving.
  • Knowledge of accounting and fiscal management principles.
  • Must be an outstanding communicator and possess excellent written and verbal communication skills; interpersonal skills; and the ability to work collegially and interact effectively with a diverse constituency.
  • Ability to meet deadlines, attention to detail, accuracy, and a customer service-oriented attitude
  • Proven success working with stakeholders; project management skills; experience in a data-driven environment; organizational skills; and the ability to lead, influence and motivate others are required.
  • Working knowledge in these areas: Windows, Microsoft Word, Microsoft Excel, Microsoft Access, Microsoft Teams, internet browsers, preferably Chrome, E-mail. Working knowledge of a donor database, contact management and tracking system.
