OPS Human Resources Office Assistant

Job Description:

Job duties include but are not limited to:

  • Answer phone calls, email requests, and HR suite door in a timely manner
  • Greet and assist customers
  • Scan and file documents
  • Coordinate and schedule conference room reservations and/or Zoom meetings
  • Office management such as distributing mail, maintaining the printer/copier, ordering office supplies, etc.
  • Manage and maintain multiple filing systems, databases, and org charts
  • Approve and submit Gator1 badge requests
  • Coordinate with new CVM hires to obtain new hire documents
  • Maintain CVM animal bite report spreadsheet
  • Maintain CVM alternate work location spreadsheet
  • Drop off / pick up documents around UF campus as needed
  • Handle special projects and other duties as assigned

Once fully trained, may take on additional duties such as:

  • Conduct experience and education verifications
  • Run semester reports for student assistant enrollment
  • Create and disseminate departmental communications
  • Assist with time approval process, time exceptions, and entering premium pay
  • Process electronic Personnel Action Forms (ePAFs)
  • Process various payroll related requests including but not limited to emergency checks, wage refunds, on-cycles, and prior-90s
  • Assist with FMLA process by navigating time entry and Extended Leave of Absence Forms.
  • Assist with new CVM hire distributions
  • Attend monthly HR forums and department administrator meetings
  • Attend trainings to become a notary and Pro3 certified
  • Other administrative, personnel, and payroll duties may be assigned, which would include regular cross training with HR team members

Schedule will be Monday - Friday, 8:00am - 5:00pm, with a one-hour lunch break.

Expected Salary:

$14.00 - $15.00

Minimum Requirements:
  • High school diploma
  • Valid Driver's license
Preferred Qualifications:
  • Office assistant/receptionist experience
  • Experience with Microsoft Office Suite, such as Outlook and Excel
  • Experience with Google Workspace
