Job Description:

30% Fund Reporting: Manages monthly funding summaries for Department of Psychiatry including interpreting and analyzing information from various sources including PeopleSoft and the Florida Clinical Practice Association. Compiles information into reports for each Principle Investigator and distributes quarterly. Is a member of the Psychiatry Grant Accounting team and identifies possible shortfalls in funding. Works with other team members to offer various strategic funding scenarios to PIs to best utilize funds and ensure accuracy for semester effort reporting. Monitors balances in department and PI overhead and residual accounts and ensures use is in line with budget and anticipated expenditures. Manages the monthly FCPA miscellaneous income reporting and monitors CME Accounting including the approval of expenditures. Prepares and monitors spending related to the UF College of Medicine development programs for the department. Monitors balances for the UF Foundation endowments and spendable funds. Including the monitoring of revenue, the tracking of expenses and the required reporting of activity to the department’s donors. Prepares and validates monthly reports to department administration of available UF Foundation funds and ensures spending is in line with budgeted or anticipated expenditures.

30% Personnel Duties: Distribute all personnel, faculty and staff (salary and OPS) into PeopleSoft according to budgets and project checklists. This amounts to over 200 employees accounting for approximately $16 million. Complete the PDRR and Cost Transfer Request for Psychiatry employees who are listed on grant budgets in other departments. Contacts other departments to insure their employees are correctly appointed when they are listed on grant budgets in our department. Reviews the missing distribution lists to make sure all new employees’ distributions are entered on time to receive their pay.

20% Financial Management: Works closely with the Finance and Accounting Managers to approve pcard, travel and employee reimbursements in the UF Go System. Pulls and reviews salary spending on the monthly reconciliation reports. Manages monthly actual to budget expense reporting and assists with annual budget preparations.

10% UF Effort, AAR & Space Reporting: Primary contact for semester effort reporting for non-researcher faculty within the department. Spreads each employee’s faculty activity on each salary source so that total activity equals appointed FTE and conforms to the “Twelve-Hour Law” using assignments and working with department staff to ensure accuracy. Confers with other departments and colleges to obtain all effort sources, both funded and non-funded so that appropriate cost-sharing entries can be accurate. Provides back up for the Research Administrator III as necessary. Works with faculty to ensure reports are certified by each employee within the established deadlines and addresses any concerns or changes. Works with Finance Manager, faculty, and education staff to prepare academic activities report (AAR) documents and inputs into the reporting system. Monitors teaching activity changes and updates as needed. Works with department administration to complete the annual UF Space Inventory reporting for non-research related space.


5% Property Accounting: Maintains the property inventory for the Department of Psychiatry. This includes working with staff to identify the most strategic use of assets, the annual property inventory, the assignment of new assets within the UF property system and the identification and assignment of attractive assets. Works with staff to identify assets requiring off-site certification and with requests to surplus equipment as needed.

5% other duties as needed.

Expected Salary: $60,000- $70,000
Minimum Requirements:

Bachelor’s degree in a relevant area and two years of experience.

Preferred Qualifications:

Experience with various methods of data collection, good word processing skills, the ability to use spreadsheet software, excellent organizational skills, and good communication skills. Working knowledge of the University of Florida structure.
