Job Description:

Responsible for performing and monitoring fiscal and accounting functions for the budgeted units in the Career & Integrative Partnerships portfolio. Performs the actions of accounts payables, accounts receivables, completing deposits, journal entries, debt collection, maintaining account ledgers, sales tax, and other subsidiary functions required for fiscal management in the university’s PeopleSoft system. Documents all financial transactions of the various budgetary categories belonging to the units in the Career & Integrative Partnerships portfolio. Ensures proper processing of all monies received and exiting the career center, ensuring they are properly safeguarded, documented, and deposited pursuant to existing university guidelines, divisional expectations, and the center’s practices.

Coordinates, tracks, and reports all expense and revenue transactions through UF and career center-specific accounting and fiscal systems (i.e. Symplicity,etc). Conducts and monitors all procurement actions including, but not limited to, working with p-cards, travel and expense, encumbrances, vendors, preparation and coordination of purchase orders, acceptance of merchandise, processing of invoices for payment, reimbursements, and, when required, additional tracking requests. May serve as a portfolio liaison to other offices (UF, vendors, other academic institutions, etc.) in fiscal and associated matters.

Aids the portfolio with administrative services and business functions to support the overall operation of the units. Process human resources and personnel actions including but not limited to providing security access and working with unit supervisors to resolve personnel issues. Assists unit with procedures that affect the employee lifecycle including but not limited to recruitment, onboarding, training, and terminations as they relate to fiscal processes.

Serves as lead for time and labor entries for all full-time staff, students and, when applicable, graduate assistants. Reviews all time and labor entries in the UF System at the conclusion of each pay period to ensure accuracy and completeness, and either makes the necessary corrections or advises/collaborates with staff members’ supervisor(s) to make the necessary corrections. Initiates, processes, and monitors all staff, student, and graduate assistant employee payroll actions, including preparation of payroll sign-up and any follow-up fiscal actions required during the employee’s tenure with the portfolio.

Ensures compliance with federal, state, university and department regulations, policies and procedures and proactively communicates about changes affecting business administrative services. Conducts research, benchmarks colleagues (on and off campus) for best practices, completes internal audits, and creates reports for the units' fiscal and administrative activities.

Assists with special projects and provides administrative support for unit management as needed. Participates in department, division and university-wide meetings and committees. Track, report and communicates outcomes of projects and tasks to supervisor and other portfolio stakeholders, as needed, including students, alumni, faculty/staff, and employers. Lives out the units' values in all aspects of job function. Performs other duties as assigned.

Expected Salary:

$21.00-$24.00 hourly

Minimum Requirements:

High school diploma or equivalent and five years of general accounts transaction experience. Appropriate college course work or vocational/technical training may substitute at an equivalent rate for the required experience.

Preferred Qualifications: In general, this position also requires an unusual blend of administrative, financial, budget, and accounting knowledge and expertise, with excellent verbal and written communications skills, and the ability to communicate a variety of complex information to both internal and external stake holders. It further requires strong organizational, administrative, problem solving, initiative, personal and personnel management skills. Strong computer skills and proficiency in Excel, budget spreadsheets and databases management and entry are strongly preferred.
