Job Description:

JOB SUMMARY:
This position is responsible for providing facilities and workplace services support for NORC offices and staff, as well as administrative support for the Department Head. Serves as one of the principal resources for day-to-day operational support to NORC's Chicago Loop office and peripheral support of NORC’s offices in Chicago Hyde Park, Bethesda/DC, Albuquerque, Wichita, Atlanta, Cambridge, Silicon Valley, and Sacramento (no travel required).
DEPARTMENT: Facilities & Workplace Services

The Facilities & Workplace Services team is responsible for day-to-day operations at each of NORC’s office locations. This includes real estate planning, space planning and management, emergency procedures, access control, security and key card services, construction management, travel management, mail and shipping operations, print center operations, front desk services, furniture purchasing, office maintenance, and general upkeep and cleanliness.

RESPONSIBILITIES:
  • Supports day-to-day onsite operations providing a high level of customer service. Assists with tracking work order ticketing system and staff requests to ensure all are addressed and closed out in a timely manner. Works closely with building engineers and building work order system. Supports general onsite maintenance including daily site survey to observe and report any issues
  • Provides administrative support to the Vice President/Department Head. This includes but is not limited to expense reporting, travel support, meeting coordination and set-up
  • Provides departmental support and coordination, which includes auditing and updating SharePoint page, back up coverage for Receptionist for breaks, lunches, etc., weekly onsite event summary email, daily visitor log registration tracking and email, maintaining active staff listing with Landlord, and weekly audit and maintenance of Hybrid/Hotel workspaces and conference rooms
  • Assists with the coding and uploading of invoices for all offices, including rent invoice processing. Processes weekly postage report, monthly Print/Copy center chargeback report, periodic activation and deactivation of print/copy charge codes. Assists with purchasing and vendor coordination by obtaining estimates, issuing purchase requisitions, monthly coding of department purchasing credit card, etc.
  • Supports onboarding and offboarding of staff in collaboration with F&WS team including workstation set-up/break-down; reviewing Personnel Action Forms; supporting Moves Adds and Changes; and submittal of necessary tickets
  • Supports onsite meetings and events in collaboration with F&WS team and other admins; coordinating scheduling and food service for department meetings
  • Assists with Life Safety team and updates to Emergency Action Plans
  • Performs other duties and projects as assigned
REQUIRED SKILLS:
  • High school diploma or equivalent
  • At least 2 years of relevant experience providing support in an office environment, preferably in a workplace services or facilities role
  • Excellent customer service skills
  • Good organizational skills and ability to prioritize
  • Microsoft Office: Word, Excel, Outlook; invoice processing, purchase orders
  • Knowledge of general office equipment and technology
  • Ability to communicate effectively (oral and written) at all levels
  • A strong team player willing to pitch in at any level when the need arises; Exceptional Customer Service; Ability to work with senior staff; Maintain confidentiality and handle sensitive and/or confidential material in a discreet manner; Display a professional demeanor and ability to prioritize multiple tasks
  • 8:00am-5:00pm
SALARY AND BENEFITS:

The pay range for this position is $ 59,000.00 – $ 89,000.00

This position is classified as regular. Regular staff are eligible for NORC’s comprehensive benefits program. Benefits include, but are not limited to:
