Job Description:

The National Coordinating Center for Digitization of Biodiversity Collections (iDigBio), centered at the Florida Museum and funded by the U.S. National Science Foundation (NSF), is seeking an OPS clerical assistant to process travel requests, travel expense reports, and create Person of Interest (POIs) for national and international guest travelers. iDigBio is responsible for managing and sustaining an integrated national infrastructure for digitization of biodiversity collections housed in U.S. institutions. iDigBio provides access to training, information, and data critical to scientific research and education, including those designed to understand biodiversity and societal consequences of global change and other environmental issues.

The successful candidate will work with the director, project manager, deputy project managers, and conference manager to facilitate efficient and effective travel processing in support of workshop and conference logistics.

Specific tasks will include arranging participant travel and lodging, editing online conference and workshop agendas, assisting with hotel lodging and catering contracts, communicating with travelers to ensure compliance with iDigBio and UF travel rules and procedures, safeguarding confidential data and participant private information, assisting with planning events and handling special administrative tasks, and keeping track of budgets. The successful candidate will serve as the primary support point-of-contact for iDigBio’s numerous in-person and virtual events.

Expected hours: Variable, typically averaging 25-30 hours per week; some weeks to 40 hours, other weeks 15-20 hours, depending on workload.

Expected Salary:

$25.00/hr

Minimum Requirements:

Bachelor’s degree and three (3) years of appropriate experience or an equivalent combination of education and experience.

Preferred Qualifications:

Experience with arranging travel for others is required with a preference for experience with UF GO or another Concur-based system. Demonstrated ability to communicate and collaborate effectively with university administrators, faculty, staff, postdocs, and students.

Candidate should possess strong personal organization and management, interpersonal skills, and superb visual, oral, and written communications skills, the ability to manage and prioritize multiple assignments, and a demonstrated record of completing projects.
