Job Description:

Position Function:

Performs and or coordinates a variety of associated administrative, fiscal, and staff support activities for the Dean's office including knowledge of budget administration and control, equipment, facilities, and inventory control record keeping, database management information-gathering projects and tasks. Coordinates and facilitates meetings, program functions, and / or special events, as appropriate.

Essential Duties and Responsibilities:

1. Reconcile accounts with university accounting records.
2. Maintain files and records in support of accounting data.
3. Complete employment documents for student workers and intermittent workers as needed.
4. Reconcile and key payroll for department.
5. Assist with planning of events for department as needed.
6. Complete transfer of funds between accounts and between foundation and MSU accounts when needed.
7. Complete all purchases of supplies, furniture, and office equipment for department.
8. Assist in events hosted by the Dean's office, including advisory board meetings, receptions, graduation, and special speakers for the College.
9. Reconcile procard when needed.
10. Assist in design and purchase of event apparel.
11. Assist in design and purchase of swag items for recruiting and marketing events.
12. Prepare journal vouchers to record revenue, budget transfers, and cost transfers as needed for accounting purposes.
13. Performs a wide range of diverse administrative activities for the College of Business as a key member of the Dean's Office.
14. Schedules appointments and maintains calendars; coordinates meetings, facilities usage, events, and or travel arrangement as required for the College of Business.
15. Assists the Dean's Office in the organization and management of logistics for special events, including developing and managing guest lists, mailings, and responses; securing various vendors (entertainment, tenting, rentals, catering, security, parking); etc.
16. Facilitates the advertising of jobs by assuring appropriate approvals have been obtained for posting the vacancies to MSU's website.
17. Researches and analyzes various office related issues and participates in problem resolution.
18. Provides day to day advice, interpretation and support to department / unit(s) regarding the application of office policies, guidelines, procedures, and best practices.

Minimum Qualifications:

Bachelor's Degree or similar related experience

Knowledge, Skills, and Abilities:

1. Skill in organizing resources and establishing priorities.
2. Planning and implementation skills.
3. Strong interpersonal and communication skills and the ability to work efficiently with a wide range constituency in a diverse community.
4. Knowledge of budgeting, cost estimating, and fiscal management principles. Knowledge of contract and grant preparation and management.
5. Knowledge of database management.
6. Knowledge of employee online policies and procedures.
7. Skill in the use of personal computers and related software applications for the job.

Working Conditions and Physical Effort

1. Work is normally performed in a typical interior / office work environdfment..
2. Very limited exposure to physical risk.
3. Very limited physical effort required.
