Job Description:

Student Advisement and Professional Development

  • Provide academic advising services to all students in the Materials Science and Engineering Department, including non-degree, transient, and certificate seekers.
  • Interpret and apply educational policies, recommend enhanced advising methods, and create print and online resources for student self-advisement.
  • Support academic tasks like registration, degree verification, proctoring, and grade management.
  • Assists with the coordination, communication, compliance, and awarding of departmental undergraduate/graduate scholarships and awards.
  • Assist with planning and implementing department-related events and programs for current and prospective students, such as orientation, award ceremonies, and recruiting. Participates in college-wide and University events.

Academic Record-Keeping, Report Generation, and Compliance

  • Assist with coordinating course schedules for fall, spring, and summer terms.
  • Maintain faculty teaching preferences and room requests database, fulfill ad hoc data requests, and oversee faculty course evaluations each semester.
  • Maintain academic records for student registration, scholarships/fellowships, curriculum, supervisory committees, defense forms, degree certification, and more.
  • Develop and maintain online services for graduate defenses and faculty approvals.
  • Assist with electronic submission of new and revised courses via UF curriculum approval system.
  • Review academic records for degree certification, assemble and process academic petitions, submit scholarship lists, and compile documents for graduate exams.
  • Collaborate with faculty, support staff, and departmental administration on database management, data provision, presentations, syllabi collection, and other accreditation-related tasks.
  • Compile and report data related to enrollment, retention, etc.

Student Admissions and Recruitment

  • Collaborates with academic staff and faculty in graduate student recruitment, including applicant identification and processing, campus visits, scheduling faculty interviews, prospective student advising, and organizing departmental events for recruiting weekends.
  • Facilitates graduate admissions and degree change requests by distributing admission, funding, and program letters.
  • Handles email and telephone correspondence, and meets with visitors, in response to inquiries from enrolled and prospective students concerning all departmental academic programs of study.

Other duties as assigned

  • Tasks will be assigned to assist the Academic Advisor III, Chair, Associate Chair, Nuclear Program Director, faculty, and staff in meeting the needs of their position and/or the Department. This will include cross training to fill in for the Academic Advisor III. Other duties will be assigned based on the qualifications of the individual and Department needs.
Expected Salary:

$52,000-$58,000; commensurate with qualifications and experience

Minimum Requirements:

Master's degree in education, counseling, or academic field related to the college and one year of relevant experience OR Bachelor's degree in similar fields with two years of relevant experience.

Preferred Qualifications:

SKILLS

  • Experience in advising and counseling students at the graduate and/or undergraduate level.
  • Experience with Microsoft Office products (Outlook, Excel, Word, Teams, PowerPoint, etc.)
  • Understanding of or ability to rapidly adopt productivity tools (Zoom, Slack, MailChimp, DocuSign, Qualtrics, etc.).
  • Excellent customer service skills, including cross cultural sensitivity, and a high level of demonstrated interpersonal skills.
