Under general direction of the Director of Institutional Research, support new and existing development under the University’s Central Analytic Platform in support of institutional effectiveness.

CONTEXT OF THE JOB:
Under general supervision of the Customer Service Supervisor, provides customer service and operational support for Facilities Services & Campus Planning (FS&CP). The primary role is to interpret customer needs and process work requests and coordinate work activities of FS&CP departments such as M&O, Custodial, Grounds, and Movers. The incumbent also researches and provides information on a wide range of Facilities-related inquiries from customers, management, and staff. Independent judgment and discretion are required to resolve routine and non-routine issues.
This position is considered an essential position. When the University closes or opens late, the person in this position must work their full shift. Must have reliable means of transportation to ensure attendance during inclement weather conditions that may or may not result in a University closure. Must be available for work during seasonal high-volume periods based on the academic calendar and operational needs.
MAJOR RESPONSIBILITIES:
Communicate and interact effectively in a diverse University community of students, faculty, staff, mechanics, technicians, managers, visitors, contractors, and others.
Receive and process requests for service from the University community via phone, electronic forms, email, two-way radio, and walk-up customers.
Gather accurate, complete, pertinent information regarding service requests or other inquiries.
Monitor calls for maintenance emergencies such as power outages, gas leaks, floods, etc. Handle emergencies appropriately per Standard Operating Procedures (SOP) and use good judgment when emergent situations don’t have SOP.
Use sound judgment and reference materials to determine the proper response. Dispatch technicians and/or call managers when appropriate.
Utilize Computerized Maintenance Management System (CMMS) to create work orders and enter pertinent information. Research CMMS data and provide information to customers or management as assigned.
Research Miss Utility (MU) locate requests, create work orders if appropriate, update the MU system and interface with requestors such as contractors and project managers.
Process Facilities Notification System (FNS) requests into notifications to the University community. Utilize FNS to stay abreast of projects that may cause customer calls.
Reconcile after-hours EM, Boiler Base, and Call-In logs into work orders or other appropriate summary for managers.
Monitor request for billing-related issues such as reimbursable work, RFS requirements, purpose codes and labor/material charges as they pertain to FREAS response and work orders.
Write, review, and/or update SOPs and other documentation.
Performs lead role on a primary function such as trainer; contact & reference administrator; Customer Response Matrix (CRM) administrator.
Performs support role on primary functions not assigned as the lead.
Provides other operational support such as staffing the UDPD Command Post for events such as football games and Commencement.
Creates and/or reviews, then publishes notification requests and updates in the Facilities Notification System (Creator-level system privileges). Communicates with requestors and customers as needed to ensure accurate and properly disseminated information.
Provides input for recruitment and initial 90-day assessment of the office’s miscellaneous wage, work study, and regular student workers.

QUALIFICATIONS:
Minimum of a high school diploma or GED with three years of related experience, or equivalent combination of education and experience. Experience in a dispatching center or call center is a plus.
Strong verbal communication skills including the ability to speak with people from diverse backgrounds.

Effective organizational and memory skills to cope with periods of high call volume.

POSITION SUMMARYProvides secretarial support and assists in the administrative and functional aspects of a departmental office and compiles information in order to produce departmental reports.
Be the “face” of MSU Extension (MSUE) in District 11 South covering Wayne County. Provide secretarial support for the MSU Extension District Director and assist in the administrative and functional aspects of Extension, specifically in concert with the Extension Business Office and Human Resources. Support MSU Extension staff in a manner consistent with delivery of Extension programs and events, and work in a manner that fosters a welcoming, inclusive environment for visitors and staff. This position will also provide backup support for District 11 North, covering Oakland and Macomb Counties.
Serving as the first point of contact in a county office, you will greet visitors and answer the phone. You will also perform general office duties such as, performing daily maintenance of office equipment and arranging for repairs, requisition and check in office and copier supplies, compile records and submit bills for district products or services, and sort and distribute mail. You will provide assistance to staff by directing them to appropriate campus-based resources, including support for computer-related issues and problems, while following University and Extension policies and procedures to address and resolve questions, problems and emergencies, and may assist in making arrangements for meetings, program-related activities, etc., which support the Institutes in state-wide programmatic efforts. Additionally, you will act as a liaison with appropriate University department(s) to assist with office space/lease needs or requirements.
In this role, you will provide secretarial support for the District Directors, including scheduling appointments, assisting with correspondence, and providing support for managerial responsibilities of the District Directors. You will research and collect data in order to assist in the preparation of proposals, presentations, and/or reports, and will establish and maintain files in support of multiple counties and related functions. Additionally, you will maintain appointment calendars, arrange travel reservations, and complete related financial transactions for the District Directors.
You will also assist the District Directors in ensuring consistency with policies and procedures and conformity to University expectations, as needed and act as a liaison with MSU Extension Human Resources, when needed. Working with the District Directors and search committee members, you will partner with Extension HR in support of recruiting efforts. You will provide guidance to ensure appropriate processes are utilized and all University and Extension policies are adhered to. Your duties may include assisting with advertisement of job postings (e.g., local ads), communication, scheduling activities, and system updates. You will be provided with training to become an authorized I-9 verifier and you will assist with the completion of I-9s, and where applicable, be responsible for coordination of completion of the I-9 for new hires and re-certifications within the districts. Additionally, you will provide guidance and support to county secretaries with direction from District Director as needed.
Acting as a liaison with the MSU Extension Business Office, you will provide support with regard to any business and finance matter. Your work will include preparation and routing of expenditure documents to ensure appropriate approvals and recordkeeping requirements for the MSUE Business Office. You will assist with the administration of district operational budgets as assigned by the District Directors, and you will act as an ad hoc business resource for MSUE staff located in off-campus offices. You will be responsible for generating operating statements and information using MSU’s financial system, including sub account reports, labor distribution reports, etc. for all counties in the districts.
This position may be eligible to utilize a flexible work environment, however, there is an expectation to work from a MSU Extension County office. The needs, responsibilities, and opportunities of an individual’s position and office location drive the ability and amount of work-location flexibility.

POSITION SUMMARY
As part of MSU Extension (MSUE), the Children & Youth Institute (CYI), and with support from the 4-H Staff Development & Supervising Educator, District Director and Institute Director, this position provides leadership and oversight for growth and management of local 4-H programs, volunteers, and youth participants with a particular focus on the Spanish speaking populations in Kent County. Working with the supervising educator, this position will work in concert with the CYI to ensure alignment of programs with overall goals of the Institute and organization.
As a member of the Children and Youth Institute, you will recruit, select, and train volunteers who engage with you in the local 4-H Youth Development Program, and ensure that that MSU Extension Volunteer Selection Process is followed. You will identify opportunities for program promotion, expansion, and evaluation, as well as promote the visibility of 4-H and strengthen public understanding of 4-H and MSU Extension programs. You will work to build new partnerships which will result in programs being delivered within schools and community groups. A particular focus is on reaching youth in Kent County. Through your efforts, you will ensure that youth and volunteer audiences are reached through established and newly developed programs, providing leadership to these groups through 4-H clubs, after school programs, youth mentoring, etc. You will provide information and opportunities for learning through the use of technology, mass media, group meetings, workshops, and individual contacts.
In this position, you will recruit and train volunteers who will conduct direct programming with youth. You will also conduct some direct programming with youth, but focus will be on developing partnerships and program expansion. In working closely with the District Director and Supervising Educator, you’ll conduct formal and/or informal needs assessments that will drive strategies for program topics and delivery methods. You will lead and advise local 4-H groups in managing funds to support 4-H youth work and conduct financial management training to 4-H councils, committees, clubs, etc. on a regular basis.
You will be responsible for initiating efforts to expand Extension programs to the unreached, including limited resource families, youth, minorities, and the disabled. Primary program delivery will be through in-school, after-school, and short-term special interest groups. You will plan, organize, and implement youth development programs that are relevant to the needs of residents in Kent County. Additionally, you will be responsible for communicating information about newly implemented and existing 4-H programs and activities (progress, objectives, target dates, problems addressed, etc.) to your supervisor, District Director, and Institute leadership.
Working collaboratively, you will work with other local 4-H staff to prepare and submit the county 4-H youth development program plan, annual reports, and other necessary reports. You will be provided with professional development to help you build skills and knowledge related to volunteer screening and management, youth development, and program management.
Through your work, you will create, promote, and represent MSU Extension in activities, meetings, events, etc. in a manner that reflects collegial connection with the community, the research and knowledge of the University, and the goodwill of MSU Extension.

Operate independently, ensuring that program delivery follows established guidelines and meets the goals set for reaching the desired number of youths locally and statewide.
Use program development and advisory committees and conduct needs assessments in conjunction with local program partners to plan, organize, implement, and evaluate youth development programs, identify needs, opportunities, and carry-out programming that is relevant to the needs of county residents.
Provide leadership, management and oversight of all county-based financial resources related to 4-H programs.
