Job Description:

The University of Florida, Institute for Food and Agricultural Sciences Crop Transformation Center (UF/IFAS CTC) is seeking a part-time OPS Administrative Support Assistant to support general administrative operations. This position works closely with the Director of the UF/IFAS CTC to support the administrative, and fiscal responsibilities for the team.

Key responsibilities include managing calendars, scheduling appointments, coordinating events, processing travel and expense reports, reconciling financial transactions, and providing general administrative assistance.

Administrative Duties:

  • Manage Director's calendar and schedule appointments, meetings, and travel.
  • Serve as a liaison between the Director and other departments or organizations.
  • Coordinate and organize conferences, seminars, and other events.
  • Provide administrative support, including document preparation, correspondence, and report generation.
  • Maintain accurate and organized records, both physical and digital.

Fiscal Duties:

  • Reconcile PCard transactions and maintain detailed records.
  • Assist with budget preparation and tracking.
  • Provide chartfield codes for purchases.

Travel Duties:

  • Utilize UFGO (UF’s travel and PCard module), to input and track travel expenses.
  • Collect and review travel receipts for completeness and compliance with UF travel directives.
  • Assist with travel arrangements and process travel expense reports, ensuring compliance with UF travel policies.
  • Communicate with travelers and staff regarding expense report status and approvals.
  • Assist with faculty interviews, including travel and housing arrangements.

Additional Duties:

  • Order lab supplies and manage inventory.
  • Other related duties as required.
Expected Salary:

$15 to $20 per hour, commensurate with education, skills, and experience.

Minimum Requirements:

High school diploma or equivalent and one year of appropriate experience or an equivalent combination of education and experience.

Preferred Qualifications:
  • Ideal candidates are highly organized, enjoy multitasking, and have strong communication skills.
  • Proficiency with learning new computer systems.
  • Familiarity with UF directives, systems, and account highly preferred.
