Job Description:

Oversight of Ocala Small Animal Satellite Clinics

  • Oversight of staff and facilities for satellite clinics (UF PETS and UFVH at the World Equestrian Center – small animal.
  • Work with hospital leadership, staff, and boards to execute the mission and goals for UF PETS and UFVH at WEC-SA clinics
  • Maintain the relationship between the PETS board and local referring veterinary clinics
  • Ensure satellite clinics meet operational, financial, teaching, and patient care expectations
  • Manage accounts receivable for satellite clinics, including creating reports to identify areas where policies are not followed and identify opportunities to proactively reduce AR or improve practices to eliminate AR-causing issues in coordination with the CFO.
  • Communicate with hospital leadership and accounting team regarding ongoing issues and concerns
  • Works with PETS Practice Manager and Small Animal Hospital Operations Manager on the oversight of the general maintenance and upkeep of the hospital to provide a safe, clean environment for clients, pets and staff.
  • Works with the UFVH at WEC Practice Manager and UF Large Animal Hospital (Gainesville)/UF at WEC - Large Animal Manager/Director on the oversight of the general maintenance and upkeep of the hospital to provide a safe, clean environment for clients, pets and staff.

Financial Management of Ocala Small Animal Satellite Clinics

  • Oversees the planning, development, and execution of budgets in coordination with the Chief Financial Officer (CFO)
  • Monitors and ensures financial targets and other agreed targets are met in each clinic on a regular basis
  • Research, review, and approve equipment needs, including but not limited to additional costs associated with said purchase
  • Perform cost analysis to determine the pricing of new equipment, procedures, and products
  • Research and review Electronic Medical Record (EMR) system to ensure fees are appropriately being captured and work with senior management on ways to ensure compliance
  • Review maintenance contracts and evaluate return on investment
  • Research and evaluate equipment repair requests to determine if costs are warranted
  • Evaluate the performance of each clinic by analyzing and interpreting data and metrics in coordination with the CFO
  • Provide analytical reports to the Associate Dean for Clinical Services that will assist in decision-making for staffing needs. This may include splicing of caseload data, appointment schedules, and wait times for each clinic
  • Work closely with hospital leadership to assist clinics in working efficiently and effectively to meet goals while adhering to the mission statement and hospital philosophy.

Policies and Procedures

  • Work with hospital leadership to develop and update policies and procedures
  • Provide feedback and collect information to generate final drafts of policies for final reviewers
  • Attend Policy and Procedure meetings as needed to provide applicable information and updates
  • Work with hospital leadership to curate policies to ensure they are up to date and relevant

  • Design and implement business strategies, plans, and procedures

  • Participate in expansion activities
  • Work with individual clinics to create business plans and attainable goals. Determine future growth to determine future needs and the potential impact on other aspects of the hospital.
Expected Salary:

$80-90K, commensurate with experience

Minimum Requirements:

Masters degree in an appropriate area and two years of relevant experience; or a bachelors degree in an appropriate area and four years of relevant experience.

Preferred Qualifications:
  • BSc/BA in Business Administration or relevant field; MSc/MBA is a plus.
  • Understanding of business functions such as HR, finance, marketing, etc.
  • Demonstrable competency in strategic planning and business development.
  • Working knowledge of data analysis and performance/operation metrics.
  • Outstanding organizational and leadership abilities.
  • Working knowledge of IT/Business infrastructure and MS Office.
  • Excellent interpersonal and public speaking skills.
  • Superior management skills; ability to influence and engage direct and indirect reports and peers.
  • Self-reliant, good problem solver, results-oriented.
  • Energetic, flexible, collaborative, and proactive; a team leader who can positively and productively impact strategic and tactical finance and administration initiatives.
  • Exceptional written, oral, interpersonal, and presentation skills and the ability to effectively interface with senior management and administration.
  • Ability to operate as an effective tactical as well as strategic thinker
